Pennine Trails is a trading name of Pennine Trail Events Ltd.

By entering a Pennine Trails event, you understand and agree to terms and conditions stated below. If you are in any way unsure on any aspect of the content below, please contact us at info@penninetrails.com. Pennine Trails reserve the right to change these Terms and Conditions at any time by posting changes online.

When entering on the day of an event, in person, by confirming your full name, DOB and email address you understand that you are agreeing to our full terms and conditions stated below.

When entering our races, you agree to receive Pennine Trails emails with details of our events, your emails will NEVER be passed onto third parties.

In the case of unfortunate circumstances beyond our control, such as adverse weather conditions, Pennine Trails hold the rights to amend/cancel any event at late notice. This includes any aspect of the event such as race time, date, venue, fees or prizes. Pennine Trails will attempt to reschedule the event and entries will be automatically transferred. Where an event can not be rescheduled committed contractors will be paid and remaining funds will be offered as partial refunds or donated to charity. Where an event is not fully cancelled or rescheduled and the participant chooses not to race, they will not be entitled to a refund.

Competitors using someone else's number can have serious consequences in the event of a medical emergency. The accuracy of the race results is also affected when competitors are placed in the wrong event, age or sex category.

Competitors MUST wear and display the number that they received at registration as part of Pennine Trails healthy and safety policy.

Any competitor using someone else's number will be disqualified.

The minimum age required to enter is 15 years old. Any accidents or injuries that occur during an event that are not due to our own negligence will not be the responsibility of Pennine Trails.

Organisers hold the right to exclude participants from any event who are deemed to be acting inappropriately or causing health and safety concerns for themselves or others without refund.

Refunds, Deferrals and Transfers:

We know it's not always easy to make it to race day in one piece, or sometimes other events get in the way. We do not operate a blanket no refunds policy and we aim to be as generous with our cut offs as possible, which is why we have the below policy. We must enforce the below strictly to ensure the future of the events go ahead. 

The money generated from each event goes towards paying for the venues, the insurance, the free merchandise, first aid support and general event costs and once a certain date passes, the costs have already gone into putting the events on. Any deferrals or cancellations at this stage will be unable to absorbed by the race as the monies have been spent on the event and the event will be unsustainable to hold. Please work with us on the below schedules for your entries to ensure that the races are sustainable for the long term and available for you to race at for years to come.

NEW POLICY FROM 3rd December 2023

All races released after the 3rd December will be subject to the following policy:

You can:

Cancel your entry with a refund minus the SiEntries booking fee - available until 3 months before your race.
Cancel your entry with a refund minus a 20% administration charge - available until 2 months before your race.
Cancel your entry with a refund minus a 50% administration charge - available until 1 month before your race.
After that time the option to cancel / refund will no longer be available.

We no longer offer deferrals due to the amount of admin involved, but instead offer cancellations minus the costs already incurred. 

You can transfer your entry to another runner at any time directly from Si Entries up until 1 week of your event.

The Policy:

For 5k, 10k, half marathons:

3 Months or More Until The Event = Refund (minus 20% admin fee), Deferral or Transfers Possible

If you inform us of circumstances that change within 3 months or more a full refund can be issued minus a 20% admin charge and booking fee. You may also defer your entry (see below) or transfer to another runner (see below).

3 Months or Less Until The Event = Deferral or Transfers Possible

If you inform us of circumstances that change within 3 months or less we can defer your entry to the same event the following year, or an event in line with the same pricing structure if entry is available. You may also transfer your entry to another runner (see below).

1 Month Until The Event = Transfers Possible

If you inform us of circumstances that change within 1 month of an event, it is possible to transfer your entry over to another runner, and you will need to provide their name, D.O.B, email and club at no extra cost. Please email this information to info@penninetrails.com. The participant that takes the entry agrees to our T&Cs. The two runners transferring their entries will arrange payment and Pennine Trails holds no accountability for monies lost.

1 week Until The Event = No Refunds, Deferrals or Transfers Possible

No transfers or deferrals can be made within 1 week of an event. (For the Pennine Trail Marathon event, no cancellations transfers or deferrals can be made within 3 weeks of the event)

However, as a last resort we can also offer you a deferral of your entry in return for marshalling at the event. In the case of the Pennine Trail Marathon, you will also receive your event t-shirt too. 

For The Pennine Trail Marathon:

1 Month Until The Event = No Refunds, Deferrals or Transfers Possible

No transfers or deferrals can be made within 1 month of the event. 

However, as a last resort we can also offer you a deferral of your entry in return for marshalling at the event. In the case of the Pennine Trail Marathon, you will also receive your event t-shirt too. 

Deferred Runners:

Runners that defer their entry will not be able to defer their entry again, nor will they be able to receive a refund on their entry. Runners who have deferred from a previous year can however transfer their entry to another runner as long as it's done before 1 month from the start of the marathon, or 1 week from the start of 5k, 10k or half marathon entries.

One of our goals is to provide a secure place for you to enter events offered by Pennine Trails. As part of this service we will ask you for personal information which we will record for the simple purpose of sending you relevant information on our events and community. Pennine Trails only uses your data for communicating with you regarding the current event and any future events or services deemed relevant to you. The details we hold for our own purposes are the information supplied by you on our checkout form. All other information that is recorded in the use of our websites and services is to support your quick and easy passage to taking part in these events.

WE DO NOT SELL AND WILL NEVER SELL YOUR PERSONAL INFORMATION TO ANY THIRD PARTY

Please note by giving your details to Pennine Trails for the purpose of, entering an event, you are giving your express permission for Pennine Trails to contact you about the event or events that you have shown an interest in. You are also consenting to them discussing or contacting you about other events and services that they offer.

Returns, Refunds & Exchange Policy

Returns will be accepted for 28 days after the item is received if the item is damaged or is not as expected. The postage will be paid by the customer. An exchange can be offered for a product of the same value. Any return where the product has been worn or the tag has been removed will not be refunded or exchanged.
